How to Use WhatsApp Business to Get More Customers

For many customers, sending a WhatsApp message is easier than calling, filling in a form or sending an email. They want to ask a quick question, check a price or place an order — and they want an answer fast. For small businesses, that makes WhatsApp one of the most powerful sales tools available, especially in regions where almost everyone already uses it every day.

The free WhatsApp Business app gives you tools that the normal WhatsApp app does not: a business profile, automatic messages, quick replies, labels and a product catalog. This guide shows you how to set it up properly and use it to turn conversations into customers.

WhatsApp vs WhatsApp Business

WhatsApp Business is a separate, free app made for small businesses. It looks and works like normal WhatsApp, but adds:

  • a business profile with your description, hours, address and website,
  • automatic greeting and away messages,
  • quick replies for common answers,
  • labels to organise chats,
  • a catalog to show your products or services,
  • links and QR codes that open a chat with you directly.

Larger companies that need many agents or automated systems often use the separate WhatsApp Business Platform (API), but for most small businesses the free app is the right place to start.

Step 1: Install the app and choose your number

Download WhatsApp Business from your phone’s app store. During setup, you will register a phone number.

  • Ideally, use a dedicated business number, so your personal and business chats stay separate.
  • If you want to use your current number, the app can transfer your existing account to WhatsApp Business during setup. A number can only be active on one of the two apps at the same time.
  • Back up your chats before moving a number, just in case.

Step 2: Complete your business profile

Your profile is the first thing a new customer checks. A complete profile looks trustworthy and answers basic questions before people even ask.

  1. Logo — use your business logo or a clear photo that is recognisable at a small size.
  2. Business name and category — your real business name and the category that describes what you do.
  3. Description — one or two sentences about what you offer and how to order.
  4. Hours and address — keep them accurate, including holidays and Ramadan hours.
  5. Website and email — for customers who want more information.

Use the same name, address and phone number as on your Google profile and social media. Consistency builds trust — our Google Business Profile guide explains why.

Step 3: Set up the messaging tools

These four tools save you time every day and make sure no customer feels ignored. Find them under Business tools in the app settings.

Greeting message

An automatic welcome message sent to new customers or to people who have not messaged you in a while. Keep it short and helpful: “Hi 👋 Thanks for your message! You can see our products in our catalog, or tell us what you need and we’ll reply shortly.”

Away message

An automatic reply outside your business hours. It tells customers you received their message and when to expect an answer: “Thanks for your message! We’re closed right now and will reply tomorrow from 9:00.”

Quick replies

Saved answers to questions you receive every day. Give each one a shortcut, then type “/” in a chat to insert it. Good examples: /prices, /location, /delivery, /hours, /payment. Personalise the message slightly before sending so it never feels robotic.

Labels

Colour-coded labels help you organise conversations. A simple system for orders: New, Pending payment, Paid, Delivered. At the end of each day, check the “Pending” label so no order is forgotten.

Step 4: Create your catalog

The catalog is a mini shop inside WhatsApp. Customers can browse your products or services without leaving the chat, and you can send a product directly in a conversation instead of typing a description every time.

  • Add your main products or services with a clear photo, a short description and a price.
  • Group them into collections — for example “Cakes”, “Bread” and “Celebration orders”.
  • Use real, bright photos. Our guide to product photos with your phone shows you how.
  • Share catalog links on social media, so people can browse your products and start a chat in one tap.

Customers can also add several items to a cart and send them to you as one order message, which makes ordering easier for everyone.

Step 5: Make it easy to message you

The more places people can start a chat with one tap, the more conversations you will get.

  • QR code — the app can create a QR code that opens a chat with you. Print it on your counter, packaging, flyers and receipts.
  • Short link — a link that opens a chat with your business. Add it to your Instagram bio, your email signature and your website.
  • Instagram and Facebook — connect WhatsApp so people can message you from your profile and Page.
  • A button on your website — especially on your contact and service pages, and on your landing pages.

Step 6: Reply like a professional

Fast, friendly replies are what turn a question into a sale.

  • Reply quickly during business hours. If you need time to check something, say so: “Let me check and get back to you in 10 minutes.”
  • Be clear about prices, delivery and payment — confusion is the most common reason people stop replying.
  • Ask one question at a time to move the order forward: size, date, delivery address.
  • Confirm the order in writing with a short summary, so there are no surprises.
  • Follow up once if a customer stops replying — politely, without pressure.
  • Stay polite even with difficult customers. Our guide to responding to negative reviews works for chats too.

Step 7: Use broadcasts — carefully

WhatsApp Business lets you send the same message to many customers, for example to announce a new product or a holiday offer. In some countries, newer Business Broadcasts features add scheduling and buttons.

Use this power with care:

  • Only message people who agreed to receive updates from you. Unwanted messages lead people to block or report your number, which can get it restricted.
  • Do not send too often. One useful message every week or two is plenty for most businesses.
  • Make every broadcast worth reading — a real offer, useful news or something new.
  • Tell people how to stop receiving messages if they wish.

For longer updates and regular newsletters, email marketing is often a better fit.

Common mistakes to avoid

  • Using unofficial “modified” WhatsApp apps — they break WhatsApp’s terms and can get your number banned.
  • Buying contact lists or adding people to groups without permission.
  • An empty or outdated profile.
  • Leaving customers without a reply for hours — or days.
  • Sending long voice notes instead of clear written prices and details customers can read again later.
  • Mixing personal and business chats on one number.

WhatsApp Business checklist

Set up once: complete your business profile, turn on greeting and away messages, save five to ten quick replies and build a catalog with prices and photos.

Every day: reply fast and politely, label every chat, follow up on pending orders and only send updates to people who agreed to receive them.

Summary

WhatsApp Business turns the app your customers already use every day into a simple sales channel. Install it on a dedicated number, complete your profile, set up greeting and away messages, quick replies and labels, build a catalog and add WhatsApp links and QR codes everywhere customers meet you. Then reply quickly, confirm orders clearly and only message people who asked to hear from you.
